Over the next few days you will notice several changes to how Yendo looks. The most visible change is that your company name and your name are displayed at the top left of the screen replacing the Yendo Logo. Why did we do this? Well it’s all related to improved multi-company support.

If you click on your company name you will be brought to a new company list screen. This screen now shows all companies that you manage and will also allow you to create new ones. If you are on our Solo package you can create two companies, Standard gets up to five and Premium gets up to ten.  Each company is completely separate allowing you to even create users that can access individual companies only. Any allowances for invoices and users that you may have on your plan apply across all companies that you manage so for example if you are limited to 100 invoices per month, this is 100 across all companies not 100 for each one.

Even if you don’t manage multiple companies you can now easily create a test company to try out different changes before you make them to your real accounts.

Updates to Contacts

Over the last few days we have been making many changes to the way that contacts are used and managed in Yendo Accounts.

The changes should make it a lot easier for you to manage large numbers of contacts.

To start with we’ve added categories to contacts. this means that you can group your contacts under the same categories as your invoices.
We’ve also added a new Source field to help you identify where your contacts come from (website leads, referrals, advertising…). We’ll be adding some new reports in the coming days to help you analyse revenue by source.

There is also a new tab under Contacts now to allow you to manage the different companies your contacts are from. In this way you can have several contacts from the one company each perhaps representing a different department.

The most visible change is that we have added an ability to include an image/logo for both contacts and their companies. This should make it easier for you to identify different contacts from within long lists.

The TRUSTe certification makes it easy for businesses to quickly assess an applications data collection practices, improving and simplifying the evaluation and purchase process. With TRUSTed Apps certification, organizations can be confident that Yendo Accounts meets TRUSTe’s privacy program standards – an important consideration when purchasing an app.

Yendo Accounts has achieved certification for its website systems together with its application integration with Google Apps.

cashflowManaging Cash Flow correctly and keeping the balance positive is essential to keep a business in good  health. So being able to forecast ahead and budget accordingly is critical.  Yendo’s Budgeting function makes this easy.

To create your own Budget with Yendo, go to the ‘Tasks‘ tab in the main navigation and then scroll down to “Budget‘ and then click on ‘Manage Budgets‘ which will take you to the budgeting screen. From here you can just click on the ‘plus’ icon and you will be able to create your own budget within a specific timeframe.

You can then start to input the numerical information. A list of common business items is provided to make this easy. Yendo’s accounting software will then automatically help you calculate the anticipated cash positive or negative within the stated period. Should you find yourself with a negative cash flow, you can then take proactive steps in advance and look at negotiating better terms with suppliers or issue phased payment invoices to customers so that you are not waiting for one large payment to keep things running smoothly.

Access All Areas (or not)

In response to customer feedback, we’ve simplified the way access levels are set-up. Now it’s easier than ever to choose who can do what within Yendo. Our new access levels let you control the visibility of information and functionality available to multiple users from the same company.

Administrators can now set appropriate access levels to fit with the role a person holds within the firm, So, for instance, a sales person’s access can be set to show sales and contacts data, whereas an office manager may only have access to purchasing information.

To change access levels, just log into Yendo and go to the ‘setting’ tab in the top navigation, and then chose ‘users’ from the list. This will take you to a new screen where  you can adjust the settings of all who have access to Yendo within your company. The level of access can be selected from tick box menu and saved to each users profile.

Calculating Compound Tax just got easier

Yendo is pleased to announce that we have just released support for compound tax codes.calculating compound tax

If you need to apply a combined city, state or national tax rate, then Yendo’s new feature will allow you to create a ‘compound’ tax code using more than than one tax rate. Now calculating compound tax couldn’t be easier.

To start using this feature, simply choose the ‘Settings‘ tab, and then select ‘Tax Codes‘, from here you should be able to edit the tax rates you need to use. This feature gives you the freedom to specify two different rates that will make up the compound rate. When the compound tax code is chosen on  an invoice, the first rate will be applied and then the second rate will be applied to the new total.

‘The Simple Switch to Cloud Computing” event

A good time was had by all 120 attendee’s  at “the Simple Switch to Cloud Computing’ event (#ss2cc on twitter) at Google’s European HQ in Dublin on September 16th.

Google appsGoogle Apps and Baker Security Networks hosted and both Robert Baker, MD of Baker Security Networks and John Foong of Google spoke about the concept of cloud computing – access to your data, all the time, in many locations – and how Google Apps fits with today’s dynamic business environment.

Damien Gallagher of 3Ireland also spoke and launched a new 3G mobile phone bundle that included access to Google Apps. Yendo’s MD, Morgan Lynch was up next and he spoke about Yendo’s success to date - 1,800 users in 17 countries – and gave a quick tour of the software’s functionality and Yendo’s integration with Google Apps.

Last to speak was Gary Gilgan of LotusWorks. He spoke of LotusWorks successful switch to the cloud and to Google Apps.

What’s the difference between Debtors and Creditors?

As we know some find accounting daunting, so we thought we would explain some of the basic terms to help you get started.

Debits and Credits

Every transaction that is recorded in the accounting process can be classified as  either a debit or a credit. A debit can be described as a transaction where value is ‘added’ to an account. An example of a debit transaction would be receiving payment, for example, you lodge a payment into your account. A credit transaction can be classified as value being ‘removed‘ from an account. Writing somebody a cheque will remove value from your account.

In accounting, a company that owes you money is described as ‘debtor’ as they have the obligation of paying you the debt. A creditor can be defined as ‘one to whom funds are owed‘, in terms of your business, these would be classified as payments you owe to other parties. Accounting is, in its most basic form, a record of debit and credit transactions carried out over time.

Assets, Liabilities, Revenue and Expenses

These are  terms you may be familiar with but, what do they all actually mean?

Assets, Liabilities, Revenue and Expenses are different areas that make up your accounts.

Assets are items that add value to your business, an example might be your business premises (if you own it) or cash you have in the bank. Liabilities are items that remove value from your business, an example would be a business loan or a mortgage on the business premises. Revenue can be classified as income generated – in Yendo’s system, revenue and sales are classified as the same thing. Expenses relate to individual financial transactions that occurred while carrying out work on behalf of a client or for  the business itself.
